Exhibitor Information

Exhibit Space Availability:

Exhibit Space Specifications:

Each exhibit space is 8' x 10' and includes one eight foot table and two chairs. There is a three foot buffer between tables.

Exhibit Hours:

Exhibitors will have access to their exhibit spaces during the following times:

Exhibit Hall Events:
A Reception will be held in the exhibit hall from 4:00-6:00 pm on Friday October 19 and a Door Prize GIveaway from 1:00-1:15 pm on Saturday October 20. It is in your best interest to make the latter event as successful as possible, so consider donating a prize or prizes to be given away.

Cost:

Repeat exhibitors who reserve exhibit space by August 31, 2012 pay only $50 per space; their spaces will cost $60 each after that date. First-time exhibitors pay $75 by August 31 and $85 per exhibit space after that date.

Exhibit Space Reservation:

Exhibit spaces will be reserved upon receipt of the completed Exhibitor Application. Confirmation of table reservations will be sent via email. Space reservations can be made by email or mail. To reserve exhibit space complete the Exhibitor Application and email it to Don.Schwartz@csulb.edu (subject line: exhibit space) or mail it to Donald Schwartz, History Department, CSU Long Beach, 1250 Bellflower Boulevard, Long Beach CA 90840.

Payment:

Payment can be made by check or purchase order (government agencies only). Make checks payable to “California Council for History Education” or "CCHE" and mail to the address shown on the Exhibitor Application form. There is a $30 charge for returned checks. Reservations not paid in full within 90 days of receipt of application will be subject to forfeiture. All payments must be received no later than October 1, 2012.

Exhibit Space Staffing:

Each exhibit space reservation includes complimentary conference registrations for two table attendants, with up to a total of four complimentary conference registrations for exhibitors reserving more than one exhibit space. Additional table attendants must pay the CCHE member registration fee of $85 to attend. Name badges will be issued as indicated on the Exhibitor Application. Exhibitors are required to wear badges at all times when in the Exhibit Hall.

Exhibit Space Setup/Teardown:

Exhibitors shall not set up or tear down their exhibit space during exhibit hours. Any exhibit space not occupied by the start of exhibit hours may be cancelled without refund and reassigned by CCHE.

Exhibit Policy:

All exhibitors are responsible for being aware of, and adhering to, the following policies.

Sponsorships:

Exhibitors are invited to sponsor or co-sponsor events during the conference, including the reception. Sponsors will be publicly recognized during the events they sponsor. Click here for more information and a Sponsorship Application form.

Cancellation Policy:

Exhibit space reservations may be canceled if written notification is received by the CCHE before September 15, 2012. In such event, a refund of exhibit space fees will be given, minus a $25 handling charge. There will be no refunds for exhibit space cancellations received on or after September 15, 2012. Indemnity and Limitation of Liability:

Neither the conference nor the CCHE, nor any of their officers, agents, employees, affiliates or other representatives shall be held liable for, and they are hereby released from liability for, any damage, loss, harm or injury to the person or property of the exhibitor or any of its officers, agents, employees or other representatives, resulting from theft, fire, water, accident or any other cause. The exhibitor shall also indemnify and hold harmless the CCHE and CSU Long Beach and its representatives, employees, and students from demands, suits, liability, damages, loss, costs, attorneys’ fees and expenses of whatever kind of nature, including but not limited to, claims of damage or loss resulting from the breach of these terms, conditions and rules, claims of property or personal injury caused by or attributable in whole or in part to any action or failure to act whether by negligence or otherwise, on the part of the exhibitor or any of its officers, agents, employees or other representatives, and claims of damage or loss to any third party resulting from an infringement of a copyright or patent or the unauthorized use of a registered trademark.

Music and Amplification:

The use of amplification, recordings, videos, slides or other audio-visual devices is permissible; however, the sound volume of any such device must not exceed that of normal conversation voice level or be objectionable to neighboring exhibitors.

Security:

The exhibit hall will be locked during non-exhibit hours. However, liability for all equipment and materials remains with the individual exhibitor.

Solicitation:

All demonstrations and interviews must be conducted within your assigned exhibit space. All exhibitor-printed materials, souvenirs and other articles must be distributed within your assigned exhibit space. Aisle space must be kept clear to permit the smooth flow of traffic. Distribution of printed materials, souvenirs and other articles in the registration area, common areas outside the exhibit hall, meeting rooms, or food and beverage areas is prohibited. The operation of lotteries or games of chance is permitted within applicable law. CCHE reserves the right to prohibit the distribution of items it deems objectionable or otherwise inappropriate.
