Tips for Moving - revised August 2006

The following suggestions and directions are offered to assist you in your upcoming move at the University. Moving services are provided in the order they are requested. We ask for your cooperation and understanding that the timeline for services depends on the number of requests we have received. Most moving requests are performed approximately one month after the request is made.

Please provide FMS with a service request at least 21 working days in advance of your move. Allow more time if an entire department is moving. Provide all state decal numbers for computer equipment, electronics, refrigerators, etc., on your service request and property transaction forms.

Contact User Services at ext. 6000 for your telephone and computer needs. User Services will disconnect equipment and prepare it for moving if it is part of an office relocation. Please contact User Services at least two weeks in advance for an office move and with as much notice as possible for an entire department. FMS Moving staff performs the physical move of equipment but does not disconnect or reconnect computer or telephone equipment.

Please submit your key request for new keys to FMS as soon as possible. Please remember to return old keys if they are no longer needed. Key Authorization Cards are available from FMS at ext. 6222. More info about key issue and return.

Boxes can be obtained from FMS at ext. 6222. Please order boxes 21 working days in advance. Before you fill a box, it needs to be taped at the bottom, not cross folded. Please use strapping or filament tape. (NOTE: Please close all tops as contents of open boxes may fall out and become damaged during moving.) Please use masking tape for labeling, not post-its (they fly off easily and become lost); label all boxes, fragile items, and furniture. All packing must be completed by the requester or department before the scheduled moving date.

Please limit the weight of each box to that which can be lifted by one person. As an example, a good rule of thumb is to pack no more than one bookcase shelf of books into one box.

Desks may be placed on end in order to fit into moving trucks and/or elevators. If the desk drawers lock, your items will stay secure but will not remain in place. We suggest that you empty your drawers, leave them unlocked, and reorganize your desk in your new location.

If your office currently has modular furniture, you will need to plan ahead for approvals and some additional costs. The configuration of your furniture layout may not fit in the space you are moving into. Please take the following items into consideration:

  1. You will need to contact a furniture company (possibly the one from which the furniture was purchased) for a quote to disassemble and reassemble the furniture. Facilities Management is not equipped to provide this service. The furniture company will also be able to help you in determining the new furniture layout. A contract for this service will need to be in place with the vendor before securing this service. If the furniture is connected to any walls or utilities, FMS design staff will need to coordinate this as it would be a contract rather then a service and Union notification would need to be made.
  2. Facilities Management will need to approve the new furniture layout for Fire Code and Accessibility compliance. We will be glad to provide you with a simple drawing of the rooms you are moving to so that you may provide a sketch of your new layout.
  3. Remember that electrical outlets, data outlets, phone outlets, thermostats, and other similar items must not be covered or blocked by panels or furniture components.
  4. You may need to purchase new furniture components for your new layout as some of the pieces may not fit correctly.
  5. If your furniture is currently wired for electrical power (or if you plan to add electrical connections), you will need to request an estimate from Facilities Management for our electricians to disconnect and reconnect the electrical wiring.
  6. If your furniture is currently wired for phone or data connections (or if you plan to add connections), you will need to request an estimate from Communications Services for their technicians to disconnect and reconnect the telecom wiring.
  7. Costs for relocation of modular furniture is a cost recovery item and the department is responsible for all costs associated with this activity.

Oversized filing cabinets will need to be emptied. The movers will be able to better advise you when they see your specific furniture as to the best way to prepare it for moving.

Counters, credenzas, and bookshelves must be emptied and items boxed.

A layout drawing of how you want your new office arranged is most helpful or the movers will just place the items as they assume you would like it. Before moving, we suggest taping a drawing to the top of your desk showing the furniture layout.

Submit separate service requests for items which need to be removed from the walls, such as bookshelves. FMS staff will remove these items and reinstall the equipment in your new office as soon as possible.

Please do not remove the bulletin board, chalkboard and/or whiteboard from your office or work area. Your department should request new bulletin boards, chalkboards and/or whiteboards, if needed, in your new office/work area.

The University's Human Resources Department has recommended that only the moving staff move the desks and furniture. If you wish, you can move personal items, plants, and lightweight items.

After you are moved into your new location and have emptied all the boxes, please place them in the hallway for pickup and reuse. Please do NOT break them down or take them apart. If the boxes are not picked up by the next day, please call ext. 6222 to remind us to pick up the boxes.

Contact the University's Print Shop at ext. 5992 if you need to have a copy machine moved. The Print Shop would appreciate a five day advance notice.

A personal rug or carpet is the owner's responsibility to remove. The State of California Fire Code prohibits the University from cutting or sawing doors in order to allow for a carpet or rug to be installed in unapproved locations.
