Travel Accounting Current Commercial Car Rental Contract

State employees are reminded of the current Commercial Car Rental contract negotiated by the Department of General Services (DGS). Only the car rental agencies under contract with the State are authorized for State travel.

They are:

• ENTERPRISE RENT-A-CAR (Primary)
• Alamo Rent a Car (Secondary)
• National Car Rental (Secondary)

In the event Enterprise does not have an appropriate vehicle available, or does not represent a location, Alamo and National are permitted as secondary options. The ONLY authorized forms of payment for State car rentals are the American Express Government Card or the CRBTA (Car Rental Business Travel Account). See pages 29-31 of the online Travel Manual for details regarding use of the CRBTA and how to reserve a vehicle. Only State funds can be used to rent a vehicle using the CRBTA.

These approved forms of payment, combined with the use of the State rental car contract, achieve the protections afforded in the Master Contract program (LDW/CDW/Liability included). The use of personal credit cards or cash is expressly prohibited and void the terms of the contract.

State employees must submit a Travel Request to Travel Accounting (zip 140) PRIOR to departure. Visit the Travel Accounting Web site for all State travel forms. Reservations must be made by the traveler or their designee. Travel Accounting does not reserve vehicles.

Student Employee Administrative Access to CMS/PeopleSoft Disabled on Friday, May 29

As part of our on-going efforts to improve campus information security, we are making a change to student employee access to CMS/PeopleSoft. All student employee administrative accounts in CMS/PeopleSoft will be disabled after 5pm on Friday, May 29. Departments with students working over the summer can request that student employee administrative accounts be re-enabled. This request must come via e-mail from the student’s supervisor to the appropriate security administrator (HR Security, SA Security or Financials Security) the week of May 26-29. The request needs to indicate that the student employee is working over the summer and therefore the account needs to be reinstated at the beginning of the work day on June 1.

If a student employee is taking all or part of the summer off, their account will be disabled on May 29 and will need to be re-enabled again when they return to work. CMS SA Security has a form available to request the reactivation of a student employee administrative account. The form requires only the signature of the student and their supervisor. New hires for the fall semester will need to follow the normal security process.

Please remember to separate student employees who will no longer be working in your department by completing a Student Employment Authorization Form.

Feel free to direct general questions regarding this change to Brooke Banks. Specific questions regarding CMS/PeopleSoft HR, Student or Financials security should be directed to the appropriate security group.
