6.18.2008 - Procedures for Vehicle Rental for Foundation Projects/Accounts

You were recently advised that the State procedures for car rental are changing effective July 1, 2008. Through its affiliation with the CSU Auxiliary Organization Risk Management Alliance (AORMA) the Foundation is also participating in the State Enterprise Rent-A-Car contract and with the same rate structure. This contract also provides:

1. Unlimited mileage

2. No “drop-off charge” for returning a vehicle to an alternate location within California

3. Enter your CSU AORMA Account Number (NACA053) at the prompt for “Optional: Coupon, Customer, or Corporate number.” The next screen will ask for your PIN which is: CSU). You will be asked for your credit card information at the time you pick up your rental vehicle.
Counter Bypass Program to avoid lines when renting. (Simply go to the corporate and identify yourself as renting through the State contract. Also identify that you need to use your personal credit card)

4. The purchase of additional automobile liability insurance or the Loss Damage Waiver is unnecessary when traveling on State or Foundation business. If utilizing the rate while on personal business you should either purchase the additional insurance and loss Damage Waiver or have existing coverage through other means.

Foundation policies have been revised allowing for 100% advance of rental car fees with documentation from the website (or from another rental agency if necessary). If not advanced, charges will be processed in the same manner as other travel reimbursements.

If your program requires an extended rental period or student use where a credit card may not be available, please contact either your Analyst with Research and Sponsored Programs (x5700), or the Foundation Administration Office (x6811) for assistance.
