Room Placements
- Once rooms are allocated will we be able to make changes?
Yes. Just like we do now, swaps within your department, or even across departments, are allowed. We will hold on the swapping until after critical adjustments are made (accommodations, errors, etc.).
- Why aren't my classes scheduled in the same room for different meeting patterns and/or different components?
The system doesn't know the difference. Unless we can list an instructor to match up schedules, there’s no way to tell the program that specific day/time patterns need the same room. We will adjust these manually to the best of our ability before we finalize and publish room assignments.
- We really need all of our classes to be scheduled in close proximity to our department, in order to foster a sense of place for students. Is that possible?
That depends on what you’re asking. If you expect all of your courses to be in the same building, the likelihood is that (1) they won’t all fit, (2) that’s not where your classes were historically, so we’ll be asking “why now?”, and (3) space being so limited, it’s only possible to address the room feature requirements that are necessary to deliver the course content. We do review historical placement when we receive these types of request, but anticipate being even less likely to entertain all preferential requests due to the shortage of space with Butte Hall coming offline.
Preschedules
- Our department has, according to the Academic Scheduling Provisions, pre-scheduled access to a space—but I didn't see that on the results. What happened?
This may have been a mistake. We will fix those as we are alerted to them.
Exclusive Use Rooms
- The results show classes in my exclusive spaces; were those spaces optimized?
NO; the program keeps existing room assignments and only “optimizes” the classes that need a general use lecture room. Your department will need to book your exclusive spaces BEFORE any room optimization is done each term.
- The results show that my classes, which WERE in my exclusive spaces, are now in other spaces. What happened?
My best guess is we were too enthusiastic about removing rooms when we created the dummy term we’ve been experimenting with. We will fix those issues as we are alerted to them.
Storage
- We have instructional materials stored in a general use lecture room. Will we still have access to those materials?
With 20% of our classrooms unavailable effective fall 2021, it may be necessary to find somewhere else to store those materials in an effort to ensure the greatest flexibility and efficiency with room optimization. Since we will not be returning to priority allocations of general use spaces, there will be no future guarantee of access to a particular classroom.
