When necessary to accomplish the business and affairs of the CSE, employees, elected representatives, and volunteers may drive as part of their job or volunteer duties. Before driving on CSE business, all drivers must receive supervisor approval and meet the requirements set forth in the CSE Vehicle Use Policy (PDF).
Request for Authorization to Drive CSE Vehicles Process for Existing Employees
- The employee completes the Driver Certification for Business Use of Vehicle(s) (PDF).
- The employee’s supervisor reviews and approves Driver Certification form and forwards to CSEHR@csuchico.edu for processing.
- The employee will receive an email from Accurate Background requesting a release authorization for verification of their driving record.
- If the employee's driving record meets the standards described in the Vehicle Usage Policy, then Defensive Driver Training will be assigned to the employee in CSU Learn. They should complete the training as soon as possible.
- Approved drivers also are required to be registered in the California DMV Employer Pull Notice Program. Approved drivers must complete the CA DMV Form INF 1101 Authorization for Release of Driver Record Information (PDF) and forward to CSEHR@csuchico.edu.
- Once the above steps have been successfully completed, the driver and their supervisor will receive an email notification that they are approved to drive on CSE business.
Request for Authorization to Drive Personal Vehicles for Existing Employees
If the employee has been approved in the above steps AND will be required to drive their personal vehicle(s) for work purposes, additional documentation is required. Employees can gain approval for driving CSE and personal vehicles simultaneously using the initial approval process above and the steps below.
- Complete Authorization to Use Privately Owned Vehicle on CSE Business form (PDF). Forward completed and approved form to CSEHR@csuchico.edu.
- Once the above steps have been successfully completed, the driver and their supervisor will receive an email notification that they are approved to drive personal vehicles on CSE business.
Driving Authorization Process for New Hires
New hire candidate that will be driving regularly two or more times per week for their job will receive a contingent job offer letter to sign prior to starting the steps above. If the candidate is unwilling, does not meet the driving record standards or in the case of driving their personal vehicle is unable to comply with insurance requirements, their job offer will be rescinded and they will be ineligible to be hired.
Driving Authorization Process for Volunteers and Other Non-Employees
Supervisors will follow the same process as for existing employees. Once the steps have been successfully completed, the driver and their supervisor will receive an email notification that they are approved to drive on CSE business. The notification email will include if the individual is allowed to use their personal vehicle on CSE business.
