POSITION SUMMARY: The SAP University Competence Center (SAP UCC) operations and contracts analyst serves in a critical operational role responsible for independently managing a broad range of administrative, operational, contractual, financial, and organizational processes that support the Chico SAP UCC.

This position requires a highly organized, detail-oriented, and self-directed professional who can manage complex workflows with minimal supervision while maintaining a high level of accuracy, professionalism, accountability, responsiveness, and follow-through. The SAP UCC operations and contracts analyst must be able to independently prioritize responsibilities, monitor deadlines and pending tasks, proactively identify and resolve issues, manage sensitive and confidential information, and ensure that operational processes are completed accurately and on time.

The individual in this role will serve as a key operational resource for the SAP UCC and is expected to take ownership of assigned responsibilities and projects from initiation through completion with minimal oversight. Success in this position requires strong judgment, initiative, adaptability, effective communication skills, consistent reliability, and the ability to perform effectively in a fast-paced environment with multiple competing priorities. The successful candidate must also demonstrate the ability to receive feedback professionally, adapt to evolving operational needs and procedures, and effectively implement process improvements and corrective guidance.

ESSENTIAL JOB FUNCTIONS:

Contract and Administrative Operations

  • Independently manage contract and agreement workflows for SAP UCC member institutions and related partners.
  • Prepare, review, track, distribute, and maintain agreements, renewals, amendments, invoices, and related documentation.
  • Monitor contract timelines, renewal schedules, payment statuses, and operational deadlines to ensure timely follow-up and completion.
  • Maintain accurate records, databases, logs, and electronic filing systems related to contracts, customers, invoices, operational processes, and institutional communications.
  • Coordinate with Chico State Enterprises, university departments, SAP UCC leadership and staff, member institutions, and external partners regarding operational and contractual matters.
  • Ensure documentation is accurate, complete, consistent, and compliant with established procedures.
  • Assist with operational process development, documentation, standardization, and continuous improvement initiatives.
  • Demonstrate initiative and adaptability in learning, testing, and utilizing new and existing software platforms, technologies, and operational systems.
  • Identify operational inefficiencies and proactively recommend and implement process improvements.

Operational and Organizational Support

  • Independently coordinate and manage multiple operational projects and priorities simultaneously.
  • Provide operational support for SAP UCC activities, meetings, events, communications, onboarding activities, customer support functions, and curriculum-related initiatives.
  • Organize, review, update, format, and maintain curriculum materials, instructional resources, and related documentation as needed.
  • Prepare and process operational forms, reports, travel documentation, reimbursements, purchasing paperwork, and other business-related documentation.
  • Support shared inbox management and ensure timely, professional, and accurate responses to inquiries.
  • Monitor outstanding action items, responsibilities, and deadlines.
  • Maintain confidentiality and exercise sound professional judgment when handling sensitive information.
  • Serve as a dependable operational resource.
  • Adapt effectively to shifting priorities, operational demands, and organizational needs.

Communication and Customer Service

  • Communicate professionally and effectively with faculty, university administrators, SAP representatives, Chico State Enterprises personnel, SAP UCC team members, and other stakeholders.
  • Collaborate with SAP UCC staff and cross-functional partners to support organizational priorities and achieve operational goals.
  • Proactively communicate status updates, concerns, delays, and operational issues in a timely and professional manner.
  • Deliver high-quality customer service while maintaining professionalism, responsiveness, and sound judgment.
  • Interpret and explain operational procedures, processes, and requirements clearly and accurately.
  • Draft, edit, proofread, and maintain professional correspondence, reports, communications, and documentation.
  • Represent the SAP UCC professionally in all written, verbal, and interpersonal interactions.

EMPLOYMENT STANDARDS:

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant professional experience.
  • Minimum of three years of progressively responsible administrative, operations, project coordination, contract administration, or business operations.
  • Demonstrated experience independently managing complex workflows, projects, or operational responsibilities with minimal supervision.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Proven ability to prioritize and manage multiple responsibilities while consistently meeting deadlines.
  • Strong problem-solving skills and the ability to proactively identify and resolve issues.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, Teams, and Adobe Acrobat.
  • Ability to quickly learn and adapt to new systems, software platforms, technologies, websites, and operational procedures.
  • Ability to work independently and collaboratively while effectively coordinating with others to achieve shared goals.
  • Strong customer service orientation and interpersonal skills.

Preferred Qualifications

  • Demonstrated experience with contract administration, invoice coordination, procurement, and compliance-related processes.
  • Experience working in higher education, university auxiliary organizations, or academic support environments.
  • Experience supporting operational or business processes involving multiple stakeholders and external partners.
  • Working knowledge of SAP administrative and operational processes.
  • Proven success in developing or improving operational workflows and documentation.
  • Experience managing shared inboxes, tracking systems, or databases.
  • Bilingual proficiency in English and Spanish.
  • Experience coordinating projects or operational initiatives across multiple departments or organizations.

WORKING CONDITIONS:

Work is performed in a typical office environment and requires extended periods of computer and desk work, including sitting, typing, reading, and verbal communication.

BENEFITS:

COMPLIANCE REQUIREMENTS: 

Satisfactory completion of a background check (including a criminal records check) is required for employment. Chico State Enterprises will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current Chico State Enterprises employee who was conditionally offered the position.
