CHRS Move to Production (MTP) Preparation Activities

March 2025 Pay Period & Data Freeze:

• Any March 2025 entries in Time and Labor or Absence Management will not be converted into CHRS. All entry for March should be done once we are live in CHRS.
• No new hires March 17 - March 31; earliest start date is April 1.
• Noon Tuesday, March 18: No future hires, job data, or personal data entry (no additions or updates).
• March 19 – March 24: A system downtime message to be displayed.
• March 24 GO LIVE: Portal and website updates to occur.
• March data will be monitored by HRIS.
• March Deadlines:
  • March 3, 5 p.m.: All transactions (except new hires) paperwork submitted to Employment or FAAF must be completed.
  • March 10, 5 p.m.: Final deadline for new hire processing.
  • March 18, 5 p.m.: Final 9.0 HR data pull and system freeze.

Access to PeopleSoft Environments:

• March 19 @ 5:00 p.m. – March 24: Human Resources (HR) will be unavailable.
  • HRIS will notify the campus when access to the new CHRS system is available.
• March 22 @ 12:01 a.m. - 5 p.m.: Campus Solutions (CS) will be unavailable.
• Common Financial System (CFS) access will not be impacted.

Data Impacts:

• March 18: Completion of Chico State HR Data Entry by the end of the day.
• March 19: Data Warehouse will load data as usual, including CS (Student), CFS (Finance), and the final HR load from 9.0.
• March 19, 5 p.m.: Chico State loses data access to the 9.0 instance, both application and underlying database, as the CO performs CHRS conversion activities.
• March 20 – March 24: The data warehouse will not load data from CS, CFS, HR 9.0, or CHRS, including student, finance, and employee data. Data feeding Cognos will run on 3/19, and reports will not receive updated data until 3/24, assuming the CO provides clearance.
• March 22, 12:01 a.m. – 5 p.m.: CS Offline.
• March 22, 5 p.m.: Campus receives the CHRS instance, and post-conversion activities begin by the CHRS team. Full campus access to CHRS is not expected until March 23.
• March 23: Potential Snowflake Access to CHRS data, dependent upon clearance by the CO data team.
• March 24: Data warehouse will refresh data from CHRS (via Snowflake) and CS. Campus will be notified when available for use.
• Insight Reports:
  • Many reports are being updated to include CHRS ID and Chico State ID.
  • March 20 – March 24: Reporting system will be available for use (no downtime), but data will be frozen.
