June 27, 2023 - University Revises Email Policy

Dear Campus Community,

Along with Vice President for Information Technology Monique Sendze, I am pleased to announce that after 13 months of rigorous vetting and preparation, we have implemented a comprehensive, updated email policy across the organization. The University had been operating under two siloed email policies dating from 2005 and 2016, which have become inadequate to meet the needs and challenges of our current technological environment.

In the past few years, we have witnessed significant advancements in technology, making our everyday operations faster, more efficient, and interconnected. One major transformation was the consolidation of our previously separated email systems/platforms into a single, integrated one. This change has improved our operational efficiency, but it has also brought new complexities and vulnerabilities that need to be addressed.

As many of you are aware, email continues to be the greatest source of security breaches for businesses worldwide. The cybersecurity landscape has drastically changed, and we must update our practices to mitigate these ever-evolving threats. An outdated email policy exposes us to cybersecurity insurance liability, a risk we cannot afford to take.

The new email policy is designed to:

· Establish standards for the use of the company's email system.

· Protect our organization from legal liability.

· Protect our valuable information assets.

· Enhance our organizational efficiency and effectiveness.

This new email policy encompasses the best practices from both previous policies and reflects our ongoing commitment to maintaining the highest levels of security and efficiency within our operations. While users will not notice a change in day-to-day use, the policy incorporates additional measures to safeguard against current and future threats.

The new email policy was implemented on June 26, 2023. The Executive Memorandum is available for viewing on the President’s website: EM 23-019, Chico State E-mail Policy, supersedes EM 16-004 and EM 05-005.
