Request a Student Group or Service Indicator

Both Student Groups and Service Indicators can be used to flag students as being part of a certain population in our Student Information System (SIS), PeopleSoft (PS). Using Student Groups or Service Indicators has both pros and cons, and in some cases, a department might need both to accomplish its student tracking goals.

Student Groups are the simpler of the two. They enable you to define groups of similar students at a high level, such as athletes, student body officers, or honor students. Creating groups of students enables you to track and use the students within a group for campus-wide processing, targeted communications, and reporting. A student can be added to a Student Group with an effective date and can be made inactive on another effective-dated row. Student Group membership is not visible to students in the Student Center.

Service Indicators are used to provide or restrict access to specific services. They can have different “impacts,” such as blocking enrollment actions, preventing a student from obtaining a transcript or diploma, or stopping financial aid disbursement. They can also be configured to have no impact at all and be used only for notification or messaging purposes. Service Indicators can be configured to be visible or hidden in the Student Center. They can have a start/end date or term to specify when they are effective.

With each method, consideration should be given to how it will be maintained: how and when students will be added, inactivated, or removed from the Student Group, or have the Service Indicator applied or removed. The Records and Registration unit can help mass assign or remove students.

Security will need to be configured to determine which staff members can view, apply, or remove students from groups or Service Indicators.

Student Groups and Service Indicators are both crucial components of PeopleSoft Campus Solutions, but they cater to distinct needs. Student Groups are valuable for broad classification and tracking, while Service Indicators enable granular control over student access to institutional services.

To request a new Student Group or Service Indicator, email the Campus Community Functional Lead, in the Office of the Registrar. They can help determine which option best fits a department’s needs. If a Service Indicator is needed that affects enrollment, the Assistant Registrar for Records will also be consulted.

Follow-up Actions

After the Student Group or Service Indicator is created, PeopleSoft Access Request tickets will need to be completed, requesting access (view/apply/remove) for each staff member.

Metrics/Assessment

The Office of the Registrar maintains 142 Student Groups and 520 Service Indicators configured in the system and used by various departments.

The estimated time to complete these types of requests is 3-5 days, depending on the consultation phase, and security ticket processing.
