Project Codes

Over the 20 years of using IFAS and its data structure design, the Foundation began running out of project codes in certain ranges beginning in 2015. This challenge compelled the Foundation to design a project code format that could allow for growth, as well as better organization.

What changed?

  • 5 digit code became 9 digit code
  • The new format is XX-XXXXX-XX = Fund - old project code - project counter (note that the system does not allow for dashes "-", but those are included here to illustrate the meaning of the format)

Why were the 58XXX projects treated differently?

An information design change was made after the new 58XXX range for the middle 5 digits of the project codes was already used. The 70XXX range was available.

Why do some projects begin with numbers and some with letters?

Projects that begin with letters are using the job-ledger functionality of OneSolution. The job-ledger allows for very flexible reporting, and Sponsored Programs (SP), the University Farm (AG), and the general job ledger (JL) have more specific reporting than projects beginning with numbers. Projects beginning with numbers are coded only to the general ledger (GL) level of the system.

What is the job ledger and how can I use it?

The job ledger is a subledger to the financial general ledger in OneSolution. Using the job ledger can greatly enhance our abilities to code information and to produce meaningful reports. At the Foundation, we are asked to blend the information needs of units and departments that may be dramatically different with different business needs. The job ledger allows us to “split-off” significant areas of unique reporting. Please reach out to the Foundation finance department if you think the job ledger may be a good solution for your needs.
