Thank-You Letters


After every interview ( unless you hated the interviewer), after every good job lead, or good deed performed by someone to help you in your job search, you should write a thank-you letter. This is pretty much mandatory after an interview, but it is also a good  idea to keep your network functioning well. When people feel appreciated, they will do more for you. So show your appreciation! 

The good news is that e-mail employment letters are much more common and actually preferred in technical companies and various businesses. This will save you time and money, so read on. As in a cover letter, constructing these in a block format flush to the left margin is easiest. See example. Your address is first followed by the date and the person's name, title, company name, and address. The salutation should be Dear Person's Name followed by a colon. Unless you know the interviewer well, you should put a title before the name, such as Mr., Ms., or Dr.

The first paragraph thanks the recipient for the service provided you and mentions a particularly memorable part of that service.

The second paragraph can be used to add something you forgot to say in the interview, to clarify an answer or statement you provided. If you do not have a statement like that to make, the paragraph should contain your interest in the position and why you believe you would be a good match. The ending should also include contact information.

E-mail is constructed the same as regular mail, except you do not need the recipient's inside address. Be sure to include your own, however, just in case.

Letter Inquiring about Application Status


If you have not heard anything from the employer since submitting your application at least two weeks prior, try to reach the  employer by telephone first. If that does not work and you can locate an e-mail address, send one something like this.

I am writing on this occasion in the hope that employment opportunities have improved and that a position is now available.  If not, please update my resume to indicate my continued availability and interest in a position with Henry & Hitchcock, Inc.

Request for More Information


You might send this type of letter when you have been offered a job but need more information to reach a decision, or if you are applying for the position and need information prior to the interview. Usually a request such as this is made by phone, but whether you say it or e-mail it, the message is the same.

Request for Extension of Time


If you have received a job offer and the company would like you to make a decision by a certain date, you can request an extension. Again, this type of exchange usually occurs over the phone, but may also be appropriate for e-mail if you or the employer wish.

I hope to accept a position knowing I considered everything and can then focus whole-heartedly on making a contribution to the right employer.

I would like an extension until May1. Please let me know if that is possible and thank you again for the job offer.

Rejection of Job Offer


If you are rejecting a job offer, the important thing is to be as diplomatic as possible, since you never know what may happen.

Usually you will accept an offer verbally, then follow up with a letter like this, if the company prefers. Your acceptance is just as binding whether spoken or written, so accept only after you have carefully weighed your options.
