Room/Space Reservation Process

  • Campus Office/Department: Process for Reserving Space On-Campus
  • Off-Campus Entities & Unrecognized Organizations: Process for Reserving Space On-Campus

    • Tabling Spaces:
      • Go into BMU 220 to reserve space with WLC Front Desk

        • Off-Campus For Profit Entities: These groups cannot book tabling on campus, but are welcome, with a City of Chico business license, to solicit and promote using City of Chico property surrounding campus (ie. City sidewalks, etc.). Please make sure not to block ADA or fire access.
  • Recognized SOLE Student Organizations: Process for Reserving Space On-Campus
    • When in doubt, set up a meeting with the Special Events Paraprofessional.
    • Rooms/Lawns On-Campus: Determine if it is a general meeting or special event.
      • If it is a general meeting, go to BMU 220 to book at WLC Front Desk a minimum of one week before reservation is needed.
      • If it is a special event, meet with Special Events Paraprofessional a minimum of three weeks before reservation is needed.
      • BMU Spaces: Determine if it is a general meeting or special event.
        • If it is a general meeting, go to BMU 209 to book with AS Conference Services a minimum of one week before reservation is needed.
        • If it is a special event, meet with Special Events Paraprofessional a minimum of three weeks before reservation is needed.
        • Tabling Spaces: Determine if it is a general tabling event or if it is special event tabling.
          • If it is a general tabling event, go into BMU 220 to reserve space with WLC Front Desk a minimum of one week before the reservation is needed.
          • If it is special event tabling, meet with Special Events Paraprofessional a minimum of three weeks before reservation is needed.
  • Recognized FSA Organizations: Process for Reserving Space On-Campus
    • When in doubt, set up a meeting with Council Specific FSA Paraprofessional.
    • Rooms/Lawns On-Campus: Determine if it is a general meeting or special event.
      • If it is a general meeting, go to BMU 220 to book at WLC Front Desk a minimum of one week before reservation is needed.
      • If it is a special event, meet with Council Specific FSA Paraprofessional a minimum of three weeks before reservation is needed.
      • BMU Spaces: Determine if it is a general meeting or special event.
        • If it is a general meeting, go to BMU 209 to book with AS Conference Services a minimum of one week before reservation is needed.
        • If it is a special event, meet with Council Specific FSA Paraprofessional a minimum of three weeks before reservation is needed.
          • Council Specific FSA Paraprofessional will help you fill out all proper forms and campus requirements for reservations. Then you will go reserve space with AS Conference Services.
          • Connect with CPC/IFC/MGC Paraprofessional
        • Tabling Spaces: Determine if it is a general tabling event or if it is special event tabling.
          • If it is a general tabling event, go into BMU 220 to reserve space with WLC Front Desk a minimum of one week before the reservation is needed.
          • If it is special event tabling, meet with Council Specific FSA Paraprofessional a minimum of three weeks before reservation is needed.
  • Recognized Sport Clubs: Process for Reserving Space On-Campus
    • When in doubt, set up a meeting with the Sport Club Coordinator: Book a Meeting with Sport Club Coordinator.
    • Rooms/Lawns/Gyms On-Campus: Determine if it is a general meeting or special event.
      • If it is a general meeting, submit request through CatsConnect (insert link).
      • If it is a home game request/special event, have your VP submit request through CatsConnect (insert link).
    • BMU Spaces: Determine if it is a general meeting or special event.
      • If it is a general meeting, go to BMU 209 to book with AS Conference Services a minimum of one week before reservation is needed.
      • If it is a special event, meet with Sport Club Coordinator a minimum of three weeks before reservation is needed: Book a Meeting with Sport Club Coordinator.
    • Tabling Spaces: Determine if it is a general tabling event or if it is special event tabling.
  • Large-Scale Events/Competitions/Tournaments

    Definition of large-scale events/competitions/tournaments:

    Any activity that is not intra-club (includes more than one student organization/group), that is competitive in nature (tournament or competition), or is expecting a large amount of attendees (200 or more, including participants).

    Criteria needed for a large-scale event/competitions/tournaments:

    Step by Step Process:

    • Submit request through appropriate program (FSA, SOLE, Sport Clubs) and follow their initial process
    • Ensure reservation in campus scheduling system (Astra) via Student Life & Leadership or Recreational Sports
    • Complete an Activity Assessment Form with the appropriate program.
    • Proof of insurance may be required (this can be purchased through Risk Management as special event insurance or can be provided by the organization’s National Affiliation - IFC, MGC, CPC will be required to show proof of insurance).
    • May require Facility Usage contract/Agreement via Risk Management
    Other requirements:
    • The student organization’s campus advisor must be present for the duration of the event
    • Proof of CPR/AED/First Aid certification of a club member must be provided, and this member must be present during the duration of the event
    • Ratio Guidelines: 1 staff per 100 spectators, 1 staff per 25 participants

    Low-Active Events/Activities that need minimal supervision and requirements: 

    cornhole games, lawn games, 3-point shooting contest, wiffle ball home run derby, karaoke nights, disc golf

    • Submit request through appropriate program (FSA, SOLE, Sport Clubs) and follow their initial process
    • Ensure reservation in campus scheduling system (Astra) via Student Life & Leadership or Recreational Sports
    • May require proof of insurance may be required (this can be purchased through Risk Management as special event insurance or can be provided by the organization’s National Affiliation - IFC, MGC, CPC will be required to show proof of insurance).
    • May require Facility Usage contract/Agreement via Risk Management
    • If these Ratio Guidelines are met: 1 staff per 100 spectators, 1 staff per 25 participants, must have campus advisor present
    • Equipment Rental form through Recreational Sports
